Job Summary

As a Senior Business Process Consultant/Organizational Change Manager on the IT Strategic Planning and Process team, you will apply your knowledge and expertise to identify and analyze core business processes and workflows for various University of Utah organizational units to make necessary improvements. In this unique partnership with University IT and University service providers, you will work closely with leaders and influencers in finance and administration, academic affairs, student affairs and University IT to plan and conduct process discovery and analysis workshops for architecting business solutions. You will also facilitate and guide groups in the development, review, and refinement of strategic plans and organizational objectives.

The clear and detailed process maps and functional requirements you develop and communicate will inform strategic and operational planning efforts and may feed into RFP and purchasing processes. Once the intended future state has been determined, you will leverage your strong strategy, facilitation and people skills to help design, plan, and manage the organizational change journey. Your knowledge, expertise and analytical skills will provide you with an opportunity to directly impact the success of our partners in meeting University of Utah goals to serve students, faculty, staff, researchers and other stakeholders.

This is a Category IIA position: Not required on campus and able to telework during the duration of the University’s COVID -19 response. Employees and/or functions where employees are able to work remotely in order to maintain campus systems, campus operations, clinical operations, and patient care.

Responsibilities

• Scope, plan and execute engagement agreements for clients/partners.

Plan and conduct all activities (interviews, workshops, focus groups, etc.) required to discover process landscapes (triggers, processes, metrics, results, functions and data involved) for high-level processes (such as “enroll a student” or “make a purchase”).

• Plan and facilitate workshops to develop and analyze conceptual workflow models. Lead the workshop attendees in systematically identifying opportunities for improvement in the “as is” workflow and design a “to be” workflow. Summarize findings and improvement recommendations for leadership.

• Advise sponsors and project implementation teams as they plan initiatives for the people-side of change for their processes.

• Document business requirements and develop business cases for technology solutions.

• Translate technology needs identified in process and workflow analyses into requirements, use cases and/or service requirements needed by clients or by design engineers.

• Work with relevant units to evaluate and select appropriate technologies that meet business requirements.

• Advise on process governance and maintain process repository.

• Develop clear and detailed process maps and business requirements.

• Provide expert advice on process improvement, organizational change management and project alignment with strategic plans.

• Design and facilitate group activities for retreats, working sessions, and other events to assist in creating, updating, or revisiting strategy, values, processes, or other topics.

Minimum Qualifications

Requires a bachelor’s degree or equivalency and at least 7 years of experience in the field or in a related area. May require certification in specific applications.

Department Specific Qualifications:

Seven years of progressively more responsible experience as a business analyst or process analyst on large, complex, cross-functional projects.

• Extensive experience developing clear and detailed process maps, workflows, and business requirements. Experience in UX analysis and design desirable.

• Strong analytical skills with demonstrated ability for in-depth analysis of process and data workflows and levers for improvement.

• Demonstrated experience facilitating workshops and focus groups. Success in a higher education setting desirable.

• Demonstrated experience evaluating and addressing big-picture issues and concepts, combined with exceptional attention to detail.

• Demonstrated business/client engagement skills. Proven ability to be responsive and adaptive to evolving client or project needs.

• Demonstrated experience designing and planning organizational change management strategies.

• Experience in business analysis, product management or business relationship management is desirable.

• Demonstrated ability to distill and communicate complicated findings to a variety of stakeholders including senior leadership, faculty, staff and technical consultants.

• Proven track record of meeting aggressive schedules with high quality analyses and recommendations. Project management experience is desirable.

• Effective communication, organization, and decision-making skills.

• Proven ability to work collaboratively or independently depending on circumstances.

• Demonstrated experience in both persuasive and technical writing, such as reports, business cases, project proposals.

• Demonstrated ability to adapt process improvement and change management methodologies and principles to higher education ecosystem.

• Business domain experience (i.e. Financial, HR, Student Services, Academic/Faculty Services, Research, Health Care, etc.)
