QuantiTech, Inc. Project Management Support Analyst in Hill AFB, Utah

QuantiTech is currently looking for a Project Management Support Analyst to support our customer at Hill AFB, UT.

This candidate will advise and maintain non-personnel project management functions and provide operational support. The ideal candidate shall be capable of identifying problems and recommending solutions with minimal supervision, have knowledge of Air Force (AF) directives and procedures in support of management and preparation of Government documentation and have proficiency in office organization and management.

Duties will include, but are not limited to:

Provide advisory and assistance services to include:

  • Performing specific routine actions such as creating, managing, and maintaining databases to include but not limited to: tracking status of contract actions/deliveries, suspense’s, training, distributing office mail, and reviewing correspondence for correction of deficiencies; meeting organization and preparation, which includes developing agendas and presentations, scheduling and preparation of meeting venue, recording and tracking action items, and assisting with venue security duties.

  • Oversee and Maintaining currency of official bulletins, displays, and announcements; establish and maintain file plans for Government approval; review TDY Orders for compliance with AF directives and processes; draft request for TDY orders and submit for approval; consolidate and prepare orders for processing.

  • Monitoring commitments made at meetings, then provide support in adjusting appointments and calendars to minimize conflicts in scheduling.

  • Coordinating meeting arrangements, and/or schedules meetings and/or conferences; establish location, set time, contact participants, and ensure all required materials and services are available for meetings/conferences; contact other people to attend meetings in lieu of original participants when necessary.

  • Preparing and finalizing a wide variety of recurring and nonrecurring correspondence, reports, and other documents, determining and modifying format, content and frequency of requirements from information obtained from staff, files and other sources; in composing and preparing nontechnical and some technical correspondence such as requests for information concerning the organization’s mission and programs; office procedures, letters of acknowledgement, commendations, or notification; in coordinating/forwarding correspondence to appropriate offices and updating the correspondence tracking systems and suspense files; in preparing documents IAW regulations and policies and in appropriate format; in reviewing all correspondence thoroughly to ensure correct grammar, spelling, capitalization, and punctuation; and ensure documents are finalized in a timely manner, meeting prescribed suspense dates or deadlines.

  • Providing entry control desk duties including visitor log and visitor badge control, updating end-of-day security checklists and rosters in coordination with the security manager; conducting and reporting weekly Random Anti-terrorism Measures; supporting security inspections; identifying deficiencies in the controlled area security; and coordinates solutions with the security manager and site ops/infrastructure team.

  • Maintaining TDY tracking, building and staffing TDY packages, Building APAX requests, and maintaining calendars for all travelers. The contractor shall assist in these functions in a purely administrative function for tracking and coordinating purposes only.

  • Tracking of educational and training requirements for Government personnel as it relates to travel.

  • Supporting technical and management personnel; transmitting documents and data files; providing general support for business meetings and other events, support travel planning, and maintain various organizational databases; tracking performance reports, personnel action requests, providing strategic resource management, and planning manning resource requirements; file management and tracking data call requests; and tracking Government personnel actions such as: incoming personnel, suspense dates, and other personnel actions as required.

  • Planning and execution of high-level visits; planning, arranging and setup of meetings and briefings; maintaining organizational calendars, and managing Government schedules; compiling correspondence and documentation for management approval and signature, produce briefings, reports and memos, coordinate domestic and foreign travel, and provide records and file management support; and creating and maintaining a database for tracking status of PMD’s suspense’s.

  • Administration and development of MOAs, MOUs and SOCs documents, for leadership review and signature.

  • Other items that are preferred

  • Understanding of the specific procedures and processes of the Air Force Test Center and DoD regulations and guidelines desired.

  • Experience with use of Share Point desired.

  • Travel may be up to 5%

  • Master's degree in relevant discipline plus 10 years of experience is required. (May substitute with a Bachelor's Degree and at least 18 years of experience.)

  • Experience with DoD processes, acquisition directives and policies required.

  • Experience of Microsoft Office products required.

  • Excellent verbal and written communication skills along with customer interaction required.

  • Must exemplify a dedication to achieving the mission of the 96TW as well as high standards of quality and excellence in performing the duties.

  • Must be able to work effectively alone, unsupervised, or within a group.

  • Must be able to work in a fast-paced environment while being able to prioritize work to balance multiple projects and deadlines.

  • Work is timely, efficient and of acceptable quality. Completed work meets project/program objectives.

  • Personal and organizational interactions exhibit and foster cooperation and teamwork, enhance customer relations, and actively promote rapport with customers.

  • Utilizes resources effectively to accomplish mission.

  • Focused adherence to safety and security requirements.

  • Must be able to obtain and maintain a DoD security clearance at the required level. Must obtain prior to starting work.
